• Identification and business contact data: name, company, function, email address, telephone number, country.
• Commercial correspondence: enquiries, offers, order details and related communication.
• Technical data: IP address, browser type and pages visited, where cookies are used.

We do not intentionally collect special categories of personal data and ask you not to include such data in your correspondence.

• Responding to enquiries and preparing offers — performance of a contract or steps taken at your request (Art. 6.1.b GDPR).
• Managing commercial relationships and trade documentation — our legitimate interest in conducting and documenting business (Art. 6.1.f GDPR). We rely on this basis only where the processing is necessary for that interest and where a balancing assessment shows that your interests, rights and freedoms do not override it. You may object to this processing on grounds relating to your particular situation.
• Compliance with accounting, tax, customs and sanctions obligations — legal obligation (Art. 6.1.c GDPR).
• Functional and analytics cookies and any other non-essential processing — your prior consent (Art. 6.1.a GDPR), which you may withdraw at any time.

The contact form collects your name, company, email address, country, nature of enquiry and message. This data is used solely to assess and respond to your request. Submitting the form requires your confirmation that you have read this policy.

Where you contact us through WhatsApp Business, your telephone number and the content of your messages are processed to handle your request. WhatsApp is operated by a third party under its own terms and privacy policy; we have no control over its processing. Please do not share confidential documentation through this channel.

Personal data may be shared with logistics providers, freight forwarders, warehouses, inspection bodies, banks, insurers, customs authorities and professional advisers, strictly where required to execute or document a transaction. Service providers acting on our instructions do so under a data processing agreement.

International commodity trade may require transferring data to counterparties or service providers outside the European Economic Area. Such transfers take place in the first place on the basis of a European Commission adequacy decision or, in the absence of adequacy, on the basis of appropriate safeguards under Article 46 GDPR — principally the European Commission's Standard Contractual Clauses, combined with a transfer impact assessment and any supplementary measures required.

The derogations of Article 49 GDPR are not used as a general transfer mechanism. They are relied on only in specific, occasional situations expressly provided for by that article, such as where a transfer is necessary to perform a contract concluded with you or in your interest, or to establish, exercise or defend legal claims.

• Enquiries that do not lead to a transaction: up to 24 months after last contact.
• Contractual and trade documentation: 10 years, in line with Belgian accounting and tax law.
• Cookie and analytics data: as set out in the Cookie Policy.

Subject to the conditions and exceptions of the GDPR, you have the right of access and the right to rectification of inaccurate data. The rights to erasure, to restriction of processing and to object apply in the situations listed in Articles 17, 18 and 21 GDPR; they are not absolute and do not apply where we must retain or continue processing data, for example to comply with accounting, tax, customs or sanctions obligations, or to establish, exercise or defend legal claims. The right to data portability applies only to data you provided to us that is processed by automated means on the basis of your consent or of a contract. Where processing is based on consent, you may withdraw that consent at any time, without affecting the lawfulness of processing carried out before withdrawal. Requests can be sent to info@yute.be. We apply appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, and limit access to staff and partners who need it.
